Job Summary
The Executive Assistant will provide high-level administrative support to Senior Executives by coordinating and managing schedules, documentation, meetings, and operational activities. The role ensures effective communication, confidentiality, and smooth execution of executive functions.
Key Duties & Responsibilities

Administrative Support
-
Review, prioritize, and filter all incoming and outgoing mail, calls, and correspondence.

Maintain an organized filing system for electronic and paper documents, including emails, reports, and records.

Prepare internal and external corporate documents for management and industry stakeholders.

Executive Scheduling & Coordination

Manage the Senior Executive’s calendar, schedule meetings, and coordinate travel itineraries.

Organize venues, catering, and logistics for events, including strategy sessions and board meetings.

Ensure the Senior Executive is fully prepared for meetings and engagements.

Operational & Office Management

Perform office duties such as ordering supplies and managing records databases.

Uphold strict confidentiality and professionalism in handling sensitive matters.

Foster strong relationships with internal and external stakeholders as the first point of contact.

Compliance & Data Protection
-
Implement and monitor compliance with NDPR and other data protection laws.
-
Conduct Data Protection Impact Assessments (DPIA) to mitigate risks during data processing.

Ensure awareness and application of QHSE policy and integrated management systems (ISO 9001:2015, 14001:2015, 45001:2018).

Identify and manage hazards, risks, and environmental impacts as they relate to job functions.

Requirements
Education & Experience
-
Bachelor’s degree (or equivalent) in Business Administration or related field.

Minimum of 3 years’ experience as an Executive Assistant supporting Senior Management.

Postgraduate degree or relevant professional certification is an advantage.
Skills & Competencies

Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Strong organizational and problem-solving abilities.

Excellent verbal and written communication skills.

Advanced skills in managing calendars, travel, and scheduling.

Strong interpersonal skills with the ability to collaborate and delegate effectively.
