Job Description

  • The Executive Assistant is responsible for performing different duties with the primary goal of providing personalised secretarial, administrative and research support as well as ensuring the company achieves its business objectives in a well-organised and timely manner.

Responsibilities

Executive Support and Administration:

  • Act as the point of contact between the Managing Director and internal/external clients.
  • Manage internal and external correspondence on behalf of the Managing Director.
  • Represent the Managing Director in person or virtually at meetings and events.
  • Schedule appointments, organize meetings, and maintain an events calendar.
  • Prepare facilities for scheduled events and arrange refreshments.
  • Perform administrative duties, such as filling forms, preparing correspondence, and maintaining databases.
  • Manage the Managing Director’s email, offering timely responses and ensuring they are properly briefed.

Project Management:

  • Lead and manage key strategic projects and initiatives from initiation to completion.
  • Develop project plans, timelines, and budgets, ensuring alignment with organizational goals and priorities.
  • Define project scope, objectives, and deliverables, establishing clear expectations and success criteria.
  • Coordinate cross-functional teams and stakeholders, assigning tasks, monitoring progress, and resolving issues.
  • Conduct regular project status meetings, providing updates to the Managing Director and other stakeholders.
  • Track project expenses, resources, and risks, implementing mitigation strategies to ensure project success.
  • Prepare project reports and presentations for executive review, highlighting key insights and recommendations.

Communication and Liaison:

  • Act as a bridge of communication between the Managing Director and internal/external stakeholders.
  • Liaise with internal departments, answering calls and making travel arrangements.
  • Maintain credibility, trust, and protect confidentiality on issues and concerns addressed to the Managing Director.
  • Observe best business practices and etiquette.
  • Provide a smooth bridge of communication between the Managing Director and all staff.

Salary
N300,000 – N350,000 Monthly.
