We are recruiting to fill the position of an Executive Assistant. The details are below:

Position: Executive Assistant

Remuneration: ₦100,000 – ₦150,000

 

Job Summary

A high end busy Executive is seeking a pleasant, diligent and organized Executive Assistant to provide support in daily activities and enhance productivity.

The ideal candidate will be proactive, detail-oriented, and able to manage multiple tasks efficiently. The incumbent will be responsible for arranging the principal’s daily itineraries, office-management duties, making travel arrangements, handling calendar events, drafting and organizing reports/documents, answering phone calls, setting up meetings, screening visitors, and many more similar duties as may be assigned.

Job Description

  1. Act as the point of contact between the Executive and internal/external clients
  2. Screen and direct phone calls/ distribute correspondence
  3. Handle requests and queries appropriately
  4. Manage diary and schedule meetings and appointments
  5. Make travel arrangements
  6. Track and monitor responses to emails while ensuring issues are addressed on a timely and accurate basis
  7. Produce reports, presentations for seminars and conferences (electronic and paper) for the principal as required
  8. Liaising regularly with principal on assigned tasks, reports for submission, and other vital information
  9. Follow up and ensure all direct reports to the principal execute assigned tasks on a timely basis
  10. Conduct initial review of operations and subsequent regular reviews of all departments and recommend areas for improvement thereafter
  11. Receive and respond to correspondence
    Review diary, action points and follow up with appropriate personnel
  12. Ensure control of access to the principal’s office and lock up daily
  13. Receive correspondence for the principal’s office from all concerned and distribute correspondence from out-tray.
  14. Ensure the 24-hour turn-around time is maintained by recipients of correspondences and documents
  15. Ensure cleanliness and orderliness of the principal’s desk and surroundings including the washroom
  16. Ensure all documents are promptly filed away in relevant files and update the file register as needed
  17. Ensure timely payment of the principal’s telephone bills, internet subscription and other recurrent relatable bills
  18. Any other duties as may be assigned

 

Job Requirements

Minimum Qualification :

  • HND/Bachelor’s degree or relevant certification
  • Experience: 2 – 3 years in related field
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Ability to maintain confidentiality and handle sensitive information.
  • Flexibility and adaptability to changing priorities and tasks.
  • Willingness to travel within short notice
