First AllyTrust (formerly Personal Trust) is a Microfinance Bank in Lagos and a subsidiary of First Ally Capital Limited (FACL). The Bank was registered in 1993 and operated as a Mortgage Bank until its conversion to a Microfinance Bank in 2014. First Ally Trust has a branch network at strategic locations in Lagos State and provides banking services to individuals, micro, Small and medium enterprises (MSME).


Description:
  • The Executive Assistant works closely with the Managing Director (“MD”), performing basic duties such as answering phone calls, screening visitors, making travel arrangements, preparing reports, filing and organizing documents, recording minutes of meetings, performing basic bookkeeping tasks and ultimately contribute to the efficiency of the business by providing personalized and timely support to the MD.

Duties and Responsibilities:
  • Receive guests and clients on behalf of the MD.
  • Answer all incoming calls and messages.
  • Manage the calendar of the MD, book appointments, flights and schedule meetings.
  • Type, sort and distribute documents appropriately.
  • File and organize documents within the office of the MD efficiently.
  • Provide general administrative support.
  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by the Boards of Directors, Committees, and Executives.
  • Ensure at all times the neatness, tidiness and organization of the office of the MD.
  • Manage expenses within the office of the MD.
  • Dispatch memos to various offices in the organization on behalf of the MD.
  • Remain courteous and cordial to all internal and external guests.
  • Performs other duties as assigned.

Qualifications:
  • HND / BSc in Business Administration or a relevant field
  • Evidence of completion/ exemption of/from NYSC

Experience:

  • Proven administrative or assistant experience
  • Knowledge of office management systems and procedures

Skills:

  • Excellent time management skills
  • Ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills
  • Proficiency in MS Office
  • Understand ethical behavior and business practices and ensure consistency with the bank’s standard.
  • Proficient in negotiating and persuasion
  • Excellent verbal and written communication
