Job Title: Executive Assistant to the Registrar/CE
Duration: 3 months period for an urgent Maternity Reliever.
Location: Ikeja/ Environs, Lagos, Nigeria
Salary: ₦150,000 – ₦250,000 net pay
Job Purpose:
The Executive Assistant to the Registrar/CE role exists to coordinate the affairs of the Office of the Registrar/CE by providing high-level administrative support to the Registrar/CE. The Executive Assistant serves as the primary point of contact for internal and external relations/issues on all matters relating to the Office of the Registrar/CE.
Responsibilities:
- Completes a broad variety of tasks for the Registrar/CE, both substantive and administrative, including: tackling assigned projects for a variety of business issues and functions; managing an extremely active calendar of appointments, itineraries, and agendas; composing and preparing correspondence; and compiling documents for travel-related meetings.
- Supports strategic initiatives by clarifying accountabilities across executives, ensuring proper resourcing and project support and continuously monitors key operating reports to identify anomalies/issues that require the Registrar/CE attention.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Registrar/CE, including those of a sensitive or confidential nature. Proactively develops appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the Registrar/CE office and internal departments; demonstrating requisite professionalism to maintain credibility, confidentiality, trust and support with senior management staff.
- Works closely and effectively with the Registrar/CE to keep the Registrar/CE well informed of upcoming commitments and responsibilities, following up appropriately.
- Assists in coordinating the agenda of the Registrar/CE as regards senior management team meetings and all-staff meetings.
- Assists with production of reports and presentations (in PowerPoint and Excel formats) on behalf of the Registrar/CE.
- Prepares or coordinates with others to prepare presentations and key talking points for the Registrar/CE.
- For major cross-functional, special projects, ensures clear accountabilities and alignment among stakeholders. If alignment is at risk, shares risk areas with the Registrar/CE and recommends mitigating approaches.
- Proactively identifies issues that could impact the successful execution of the Registrar/CE commitments and develops ideas to resolve the problem/mitigate the risk.
- Proactively manage the Brand and Person of the Office of the Registrar/CE
- Conduct research on the itinerary of the Registrar/CE and advise the Registrar/CE on the ideal dressings, approach, personality, presentation type, etc. required per engagement.
- Prepare notices for meetings, agendas and material needed for Council meetings and correspondences
- Maintain discretion and confidentiality in relationships with Council members
- Handle travel arraignments, bookings and other appointments for Council Members and Leadership
- Oversee leadership annual calendar and coordination of events/set-up
- Supervision of staff responsible to the Registrar/CE Office and ensure effective delegation of task
- Ensure financial accountability in the utilization of funds to fit the Registrar/CE Office budget
- Handles all travel needs (domestic & international) for the Leadership and Council members.
Job Requirements:
Education:
- Bachelor’s degree in Business Management/Administration or related discipline.
Experience:
- Minimum of 5 years post-graduation experience in a similar role in a reputable organization
