Responsibilities (Administrative Associate)
Job Responsibilities:
- Provide front desk support and perform a broad array of administrative tasks to ensure the smooth running of the office.
- Coordinate office activities including meeting scheduling, purchasing of office supplies, etc.
- Maintain records of company vehicles and ensure scheduled maintenance activities are carried out.
- Handle travel itinerary, hotel booking and logistics arrangements.
- Liaise with vendors for purchase of products and services, ensuring smooth communication and execution of tasks.
- Provide general administrative support to the Human Resources department and other team members.
- Organize and maintain a filing system for important and confidential company documents.
- Ensure office supplies are maintained, including checking inventory and working with vendors to ensure adequate level of necessary supplies.
- Receive and process communication channels, including email, phone, and physical mail or dispatched documents.
- Confer with the accounts department to help make payments, process incoming invoices, and verify receipts.
- Ensure functionality of necessary office equipment, and requisitioning new equipment and supplies as needed.
- Attend meetings and record notes and messages for managers and senior-level officers.

- Excellent communication skills (written and verbal).
- Attentive to detail.
- Ability to work in a fast-paced and growing company.
- Ability to work with little or no supervision and work within a small team.
- B.A/B.Sc in Business Administration, Business Management, Sociology, or other social sciences.
- Ability to multitask
- Proficient with Microsoft Office Suite
- Minimum one year experience in a similar role preferred.
