Job Description

  • We are currently looking to engage a highly competent and result-oriented Administrative Officer (Exams & Records) with strong personal & professional integrity to join our dynamic workforce.
  • The Administrative Officer (Exams & Records) is responsible for managing the administrative aspects of academic examinations and maintaining student records at Nile University of Nigeria.
  • This role is crucial for ensuring the integrity of academic processes and the accuracy of student data.

Responsibilities

  • Maintain data to assist the team with the preparation processes ahead of, during and after exams, including but not limited to, monitoring deadlines and key dates; recording and checking examination entry details and results.
  • Provide concise and accurate data and reports for the management to facilitate the effective management of the institution’s target setting to raise standards and performance.
  • Liaise with a wide range of internal and external stakeholders, including students, parents, Heads of Departments, lecturers and faculty officers on examination coordination.
  • Assist with updating and maintaining the institution’s internal exams timetable.
  • Ensure examination details are added at the point of inquiry (including estimation of students numbers, rooms, invigilators etc.) and are removed or amended as details are confirmed.
  • Ensure all candidates are notified of their examination entries and the dates and times of their examinations/assessments in accordance with the regulations.
  • Assist with post-results queries from candidates and stakeholders
  • To be responsible for the institution’s student census as related to examination, ensuring accurate records are maintained for each student and reporting as required to the Academic Management Head.
  • Follow and respond to key schedules e.g., assessment, recording, reporting, and the school academic calendar, working to tight deadlines
  • Assist in the collection, collation, and submission of student exam entries to the relevant boards as required
  • Assist in the administration of and presentation of exam results to candidates and any exam appeal process, remarking and other administrative issues
  • Assist the Academic management Head with the administration of all assessment, reporting and recording process.
  • Update Mark sheet templates for each data assessment capture (in accordance with the university assessment and reporting schedule).
  • Check and report to the Academic Management Head on the completion of data entry by lecturers at each data assessment capture.
  • Keep abreast of current guidance and best practice in relation to target setting, the effective use of data and respond to education developments that have implications on data management.

Requirements

  • Bachelor’s degree in any management or social science discipline.
  • Minimum of 3 years’ experience in an exams and records unit within an educational sector.
  • Experience with using statistical tools to compile data.
  • Analytical and report writing skills.
  • Good organizational and planning skills.
  • Excellent interpersonal and communication skills with a range of stakeholders.
  • Ability to prioritize workload and meet deadlines.
  • An understanding of multiple IT systems.
  • Must have strong research skills, presentation skills & notable attention to detail.
