Key Duties / Responsibilities / Accountabilities:

Stock & Supply Chain Management:

  • Ensure strict adherence to the stock requisition system to maintain optimal stock levels and prevent shortages.
  • Monitor stock movement, prevent stockouts, and proactively manage inventory replenishment.
  • Ensure adherence to the Drug Formulary and other regulatory stock guidelines.
  • Oversee environmental storage conditions, ensuring compliance with temperature, humidity, and safety standards.

Reporting & Compliance:

  • Generate accurate and timely reports, including weekly stock balances, stock movement reports, stock count reports, stock-out reports, and utilization data.
  • Ensure full compliance with procurement and financial policies in receipt, storage, and distribution of goods.
  • Maintain and review department Standard Operating Procedures (SOPs) to drive efficiency and compliance.
  • Support internal and external audits, ensuring accurate and transparent stock records.

Collaboration & Stakeholder Management:

  • Work closely with the procurement team to ensure proper documentation, including Goods Received Notes (GRNs), invoices, and requisitions.
  • Partner with hospital store managers, providing guidance, training, and oversight to ensure consistent and efficient inventory management across all locations.
  • Collaborate with pharmacy, laboratory, nursing, and other clinical teams to ensure the availability of necessary stock items.

Leadership & Process Improvement:

  • Supervise the central store team and provide functional oversight to hospital store supervisors.
  • Initiate and lead quality improvement projects to enhance supply chain efficiency.
  • Provide training and mentorship to store managers, ensuring continuous professional development.
