Job Summary

Executive Assistant’s role is To provide comprehensive executive, administrative, and strategic support to the Director in ensuring the smooth coordination of business operations within the manufacturing environment. The Executive Assistant serves as a trusted liaison, ensuring effective communication, operational efficiency, and confidentiality while enabling the Director to focus on key business priorities.


Job Details

Executive and Administrative Support

  • Manage the Director’s calendar, appointments, and travel arrangements, ensuring optimal time utilization.
  • Draft, review, and manage confidential correspondence, reports, and executive documents.
  • Prepare meeting agendas, take detailed minutes, and follow up on agreed actions to ensure timely completion.
  • Handle sensitive information with utmost professionalism and discretion.
  • Maintain accurate records, reports, and databases for operational and management use.

Operational Coordination

  • Act as the first point of contact between the Director and internal/external stakeholders, ensuring effective communication flow.
  • Coordinate with plantation, production, and administrative units to ensure timely reporting and alignment with strategic directives.
  • Support the Director in planning and overseeing site visits, Plantation reviews, and staff meetings.

Strategic and Analytical Support

  • Conduct research, compile data, and prepare analytical reports to support decision-making.
  • Assist in developing strategic presentations, business reviews, and operational summaries.
  • Track project timelines, performance indicators, and deliverables, ensuring accountability and execution.
  • Support in preparing documentation for management and board-level meetings.

Event and Logistics Management

  • Coordinate logistics for internal and external meetings, conferences, and corporate events.
  • Manage travel itineraries, accommodation, and protocol arrangements for the Director and visiting partners.
  • Liaise with vendors and service providers to ensure quality and timely support for executive operations.

Requirements

  • Master’s degree in Business Administration or related discipline from a repiutable sch. e.g Unilag, UI, LSBS.
  • Minimum of 5 years’ experience supporting senior executives, preferably within a manufacturing or industrial environment.
  • Demonstrated ability to manage multiple priorities in a fast-paced setting.
  • Strong proficiency in Microsoft Office Suite and digital collaboration tools.
  • Excellent written, verbal, and interpersonal communication skills.
  • Proven ability to handle confidential information with integrity and professionalism.
  • Strong organizational, analytical, and problem-solving abilities.
