About the Role:

We are seeking a proactive and highly organized Remote Executive Personal Assistant (EPA) to provide key administrative, operational, and strategic support to our leadership team in a fast-paced, growing tech startup. This individual will manage daily operations, assist with recruiting, marketing activities, and support various application preparations. The ideal candidate is resourceful, adaptable, and able to work independently while seamlessly coordinating with stakeholders across multiple functions.


Key Responsibilities:
  • Document Management: Organize, structure, and maintain critical company documents, including onboarding instructions, playbooks, and standard operating procedures, ensuring proper version control and easy access.
  • Recruiting & Hiring Support: Manage job postings, assist with candidate screening, schedule interviews, and track hiring progress using applicant tracking systems.
  • Calendar & Email Management: Handle executive schedules, coordinate meetings, and manage email correspondence professionally and efficiently.
  • Marketing Support: Assist with content creation, outreach efforts, and marketing campaigns, contributing to social media engagement and lead-generation initiatives.
  • Application Preparations: Support the preparation and submission of documents for various applications (grants, partnerships, certifications) and ensure all submission requirements are met.
  • General Administrative Support: Provide flexible operational support across various tasks to enhance team efficiency and productivity, including research and cross-functional communication.

Qualifications & Skills:
  • Exceptional Organizational Skills: Proven ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Recruiting Experience: Familiarity with hiring workflows, job boards, and applicant tracking tools (e.g., Greenhouse, Lever).
  • Document Management Expertise: Proficiency in organizing and formatting documents using tools like Google Drive, Google Docs, and spreadsheets.
  • Calendar & Email Management: Strong experience managing executive calendars, scheduling meetings, and filtering email communications.
  • Marketing Support Knowledge: Experience in supporting outreach efforts, social media, or content coordination is a plus.
  • Excellent Communication Skills: Strong written and verbal communication, with attention to detail and the ability to maintain professionalism in all communications.
  • Tech-Savvy: Comfortable using a variety of productivity tools (Google Workspace, Asana, Slack, Zoom) and learning new software to improve team operations.

Preferred Experience:
  • Previous experience as an executive assistant, personal assistant, HR coordinator, or marketing assistant in a tech startup or fast-paced environment.
  • Experience working remotely or in a distributed team.
  • Familiarity with SaaS products or product development cycles is a plus.
